The Program Office would like grantees to be aware there will not be a SSVF Data Office Hours webinars this month.  The Program Office recognizes upcoming conference attendance and travel would make it difficult to have widespread attendance.

The SSVF Program Office is hosting Fiscal Office Hours for SSVF Grantees to review guidance on formulating the FY24 budget. The SSVF Compliance Team will conduct live Q & A about creating a comprehensive FY24 budget. The webinar is for all SSVF Grantee Fiscal staff and program managers.

DUE: FY22/ARP Financial End of Year Closeout Due November 14, 2023

The FY22/ARP Financial End of Year Closeout Activity is due in the grant management system, UDPaaS, by 11/14/23. Please review the End of Year Closeout Webinar with detailed instructions for completion.

• Final Drawdown: Incur expenses by 9/30/23 and make final drawdown
• Federal Financial Reports (FFR): Complete and submit two FFRs in the HHS Payment Management System (PMS). A report is available for each account (zzzz-zz-zzz-22 and zzzz-zz-zzz-HL).
• Financial Expenditure Report (FER): Complete one Financial Expenditure Report (FER) for combined total of FY22 and ARP funds. The excel template will be emailed to grantees from the SSVF Program Office Inbox. Ensure all approved budget/program changes are reflected and explained in the FER.
• End of Year UDPaaS Activity: Complete and submit Activity in UDPaaS (i.e., certification questions, upload FER, etc.)

DUE: FY24 Resolution Due November 13, 2023

The SSVF Program Office has published the FY24 Resolution activities.  All awarded grantees are required to complete these activities in the UDPaaS system.  Instructions for completion are within the UDPaaS system.  Contact your SSVF Regional Coordinator should you have questions. 

Please note that your FY24 Resolution should reflect additional households able to be served given the increased funding in FY24. 

DUE: FY24 Revised Budgets Due date Extended until December 1, 2023

FY24 Budget Revisions have been extended to December 1, 2023. All awarded grantees are required to complete these activities in the UDPaaS system.  Instructions for completion are within the UDPaaS system.  Contact your SSVF Regional Coordinator should you have questions. FY24 Budgets should run from 04/01/2024 through 12/31/2024 and will encompass all services previously funded through additional funding streams to include Shallow Subsidy, Healthcare Navigation, Legal Services, and landlord and tenant incentives. Please attend the webinar noted below (SSVF Fiscal Office Hours) which will provide more information and answer any questions related to your FY24 budget.

REMINDER: Good Customer Service: Grievances

SSVF strives to provide excellent customer service to all Veterans. It is vital for grantees to have an internal grievance process that Veterans can easily access. It is required for all grantees to provide Veterans with clear information on your grievance process at the time of intake. However, grantees should consider it best practice to also remind Veterans frequently of that grievance process throughout their period of care. Soliciting feedback and addressing concerns in a timely fashion is vital to providing good services.

If an SSVF agency is unable to resolve an issue using their internal process, the Veteran is able to submit their grievance to the SSVF Program Office by emailing ssvf@va.gov.
