Question Answer
Is there a charge for your services? No, there is no charge but we do have limits set in place. For example, we have a maximum amount of 4 poster boards (30”x40”) per customer.
Does your shop do framing? We are not a frame shop. We do very limited frames for our custom designed certificates and caricature creations.
Can you print copies of this briefing package? We are not a print shop. We have a limit per customer which is 400 copies total (letter size). All large copying jobs must be sent to Publications Services. They will charge back to your services for the amount of copies you request.

 

Audiovisuals

How do I request audiovisual support? Send an email to VACOMediaAudiovisualandVideoServices@va.gov.
How do I get a Polycom phone? Send an email to VACOMediaAudiovisualandVideoServices@va.gov.
Can I pick up equipment and set it up myself? With the exception of Polycoms, easels, and flipcharts, you cannot pickup and setup equipment yourself.
Can I pick up audiovisual equipment and take it out of VACO for use? Yes, for some equipment like projectors, screens, flipcharts, easels. A property pass is required and there is a step process to get one so you should anticipate a day or two for your request to be processed.
Do you provide audiovisual support outside of VACO? Yes. However, if you work in a space considered to be a “hoteling” space we are not able to provide support to those facilities.
Do you provide audiovisual support to events held in hotels? Yes, however most hotels charge a fee for connecting our equipment within the hotel and it is often very close in price to the cost of letting the hotel provide the service.
Do you provide audiovisual support out of the DC, VA, and MD area? No.
Can I connect a non-VA laptop to the internet in any conference room? Yes, however if the LAN ports are not active in any room you should contact telecommunications.
Do you provide laptops? No, that is handled by IT and you will need to contact your organization’s IT support team.
How far in advance can I reserve equipment? No more than six weeks in advance.
What is the minimum request time for support? 24 hours.
Do you provide support to retirement ceremonies? No, they are not considered an official event unless the event is officiated by a Deputy Assistant Secretary or above.
Do you support Christmas parties? No.
Do you take phone or fax reservations? No, all reservations must be made through our group email address VACO Media – Audiovisual and Video Services. Please remember do not expand the email listing as the request will not be sent to our email group but to the individuals in the group.

 

Photography

How do I request photography support? Send an email to vacomedia-photoservices@va.gov.
How do I schedule a portrait or official photo? Send an email to vacomedia-photoservices@va.gov with three dates and times that you are available and we will schedule you based on what you submit.
Why can’t I get a flag in the background of my official photo? Our policy is the Secretary and Deputy Secretary get both VA and US flag, Senior Executive Service members get U.S. and SES flags, political appointees confirmed by the senate get U.S. Flag (Assistant Secretary, Under Secretary, Inspector General), everyone else gets the blue background.
Do you provide support to retirement ceremonies? Only the official awards portion of the ceremony unless the event is officiated by a Deputy Assistant Secretary or above.
Do you support Christmas parties? No.
