Instructions for Submitting Publications and Presentations
Review the Investigator Responsibilities and Procedures (part 4.a) in the Presentation and Publication Policy, including Service requirements, prior to submission of any manuscripts, presentations or other media types. Our Policy provides example language for acknowledging VA support, and a disclaimer statement to include in your submissions.
As a VA Investigator, you are expected to notify the R&D Administration Office when you submit manuscripts for publication, submit abstracts for consideration at meetings/conferences, or received a request from the media for any reason. Please email PVAMC.Publications@va.gov and include an electronic copy of the submitted manuscript or abstract, or information regarding the media request.
As a VA Investigator, you are also expected to notify the R&D Administration Office when a manuscript has been accepted for publication and to provide us with the final version of the accepted manuscript. We ask that you notify the R&D Administration Office as we are required to notify VACO whenever a manuscript by one of our Investigators has been accepted for publication, including information we will copy from the accepted manuscript, i.e. list of authors and the abstract.

Request for Reprints of Publications with Select Agents
The following will provide guidance in responding to requests from non-federal entities for research articles and manuscripts. Special care must be taken to ensure that unlawful groups and individuals do not have access to research involving biological or chemical agents that the Centers for Disease Control (CDC) or VA have been identified as potentially hazardous. Attachment 1 (57KB, PDF) and Attachment 2 (47KB, MSWord) list the biological and chemical agents meeting this classification.
Researchers will review requests for research articles and manuscripts to determine whether the requested material discusses any of the agents listed in the two attachments. Requests for research literature that does not involve or mention biological or chemical agents may be fulfilled. Requests for articles and manuscripts that refer to biological or chemical agents but do not discuss their use as weapons of mass destruction in any way or techniques to improve their delivery or effectiveness also may be satisfied.
Researchers will not process requests for literature that refer to biological or chemical agents and discuss their use as weapons of mass destruction in any way or techniques to improve their delivery or effectiveness. Research staff will immediately forward any such request to the Chief, Police. The Chief, Police will notify the Office of the Deputy Assistant Secretary for Security and Law Enforcement and the Federal Bureau of Investigation.
